04 Clearance process

Four steps from lodged to released.

You see each step on WhatsApp and in the shipment timeline. Times below are typical for complete documents, not a promise: customs decides which declarations it checks.

  1. 01

    Submission

We match the invoice, packing list and B/L or AWB, confirm the HS codes and lodge the declaration electronically.

Same day if docs arrive by 15:00
  2. 02

    Assessment

Customs risk-checks the declaration. Most pass on documents; some are picked for a document check or an inspection.

    Minutes to 1–2 working days
  3. 03

    Payment

We send you the duty and tax figure. You pay electronically, or we pay on your account if you hold a credit facility.

    Usually within 1–2 hours
  4. 04

    Release

Goods are released. We collect the delivery order, book haulage and watch the box leave the terminal.

Typically same or next working day

After lodging · how long assessment usually takes

  • Released on documentsMinutes to a few hours
  • Document checkAdds a few hours
  • Physical inspectionAdds 1–2 working days

Typical at Port Klang and KLIA with complete documents (demo figures). Nobody can guarantee which lane a declaration takes.

05 Common hold-ups

Why cargo gets stuck, and how we keep yours moving.

Most delays start with paperwork, not with customs. These are the six we see most often at Port Klang and KLIA.

  • H-01Documents

    Invoice and packing list disagree

Quantities, weights or values that differ between documents trigger a query.

We reconcile every line before lodging and send gaps back within the hour.

  • H-02Classification

A vague or wrong HS code

A loose description or wrong code means the wrong duty, and possibly a penalty.

Our classifiers check codes against the tariff and keep a record per SKU.

  • H-03Permits

    Permit applied for too late

Regulated goods cannot be released until the controlling agency approves them.

Permit-controlled goods are flagged within one hour of booking, before the cargo sails.

  • H-04Valuation

    Value questioned as too low

A price that looks low against earlier imports invites a valuation query.

We document freight, insurance and discounts so the customs value is supported.

  • H-05Release

    Delivery order not released

The terminal holds the container until the carrier's local charges are paid.

We chase the D/O and local charges while the declaration is being assessed.

  • H-06Storage

    Free time runs out

Port storage and container demurrage start once free days are used up.

Our command centre watches free-time clocks and warns you 48 hours before charges start.

Cargo already held at the port? Send the B/L or AWB number to the customs desk. A licensed agent tells you why it is held and what release needs, usually within the hour.

06 FAQ

Customs questions.

General guidance only. Rates and rules change, so we confirm them for each shipment. Ask the desk on WhatsApp.

With complete, consistent documents, most of our sea and air imports are released within a working day, many within a few hours. A document check adds a few hours and a physical inspection usually adds one to two working days. Customs decides which shipments are checked, so treat these as typical times, not a guarantee.

Usually a commercial invoice, a packing list, the bill of lading or air waybill, and a letter of authority for your first shipment. Regulated goods also need a permit, and dangerous goods need a safety data sheet. Use the checklist on this page for your shipment; we confirm the final list from your HS code.

As a general rule, import duty is a percentage of the customs value, usually the CIF value. Sales tax on imported goods is then charged on the customs value plus the import duty. Some goods also carry excise or anti-dumping duty, and some are exempt. Rates and rules must be confirmed per shipment with the Royal Malaysian Customs Department.

The HS (Harmonized System) code classifies your goods. It decides the duty rate, the sales tax treatment and whether a permit is needed. A wrong code can mean paying too much, a penalty or a held shipment, so our classifiers keep the reasoning for each code on file.

Yes. We identify permit-controlled goods from the HS code within one hour of booking and apply to the controlling agency before the cargo sails or flies. Approval times vary by agency, which is why starting early matters.

Yes. We declare goods moving into and out of bonded warehouses, free zones and licensed manufacturing warehouses, including our own bonded warehouse at Pulau Indah, and keep the movement records customs asks for.

We book the inspection slot, arrange haulage to the inspection bay and attend on your behalf. If customs raises a query on value or classification, we answer it with your documents and keep you updated on WhatsApp until the goods are released.
